The communications committee ensures that home owners are always informed of community news and updates. It is responsible for creating and maintaining The West Fork Ranch Homeowners’ Association website and newsletter, as well as managing the HOA’s Social Media page(s).
All communication must be approved by the Board of Directors prior to publication and distribution. Committee responsibilities may include, but shall not be limited to, the following:
- Article composition and solicitation, editing and lay-out of the HOA newsletter.
- Creation and maintenance of a Neighborhood/School/City Calendar of Events (monthly or quarterly) insert for inclusion in the website.
- Website maintenance and administration, after an introduction from CMA Management IT Department.
- Community Meeting Signage (Annual Meetings, Town Hall Meetings, etc.) in accordance with the Budget.
- Solicitation of advertisements for newsletter and/or website (if deemed necessary).
The committee shall consist of as many resident members as wish to volunteer with a minimum of three (3) members. The volunteer members of the committee shall select a Chairperson and a Secretary from within its membership. The Chairperson shall preside at all committee meetings, and the Secretary will be responsible for taking minutes at all meetings and submitting a copy of the minutes to the Association Manager. The Chairperson shall be responsible for transmitting any and all recommendations to the Board of Directors and Association Manager. All recommended projects must receive approval from the Board of Directors.
Each committee member shall be a resident owner of West Fork Ranch Homeowners’ Association and a member in good standing of West Fork Ranch Homeowners’ Association.
The committee meets as needed however at a minimum bi-weekly. Meetings dates and times are coordinated through committee members. The committee Secretary Is responsible for recording the minutes of each meeting for submission to the Board of Directors and Association Manager within two weeks of the meeting. This committee will appear on the Board of Directors meeting agenda under Committee Reports.
A majority of the committee members shall constitute a quorum for the transaction of business, and the votes of a majority of the members present at which a quorum is present shall constitute the decision of the committee.
The committee shall be responsible for submitting recommendations, proposed publications, website changes and recommendations to the Board of Directors for approval. The website shall be the mode of distribution of approved communications to all resident members of the West Fork Ranch Homeowners’ Association, unless otherwise instructed by the Board of Directors.
The committee shall adhere to a budget, as approved by the Board of Directors. All projects or publications must be submitted to the Board of Directors for approval. The committee is responsible for providing an itemized budget for the upcoming year prior to Annual Budget Review.
